CTAR Seeks New Office Space

CTAR is in search of a new location for its headquarters. CTAR has the opportunity to remain in its current location until September 2014 or terminate its existing lease early and move to a new facility at anytime.

Therefore, CTAR is submitting this request for proposal outlining our search criteria for our office headquarters and is submitting this RFP to all REALTOR members for consideration. The RFP is being extended in an effort to ensure the lowest possible occupancy cost with maximum flexibility of space for our association. CTAR would like to consider space for lease and for sale. We will not consider built to suit opportunities at this time.

In the interest of wise stewardship of Association funds, the Charleston Trident Association of Realtors, (“CTAR”), is investigating long term options for their facilities requirements. CTAR’s current landlord has provided the ability to terminate our lease early presenting an ideal opportunity for re-evaluation of our office space.

A Facilities Task Force was formed to evaluate alternative scenarios and make recommendations for viable solutions. Based on the findings from the completion of that initial tasking, CTAR has decided to pursue identifying lease and or purchase options for their long term space needs. This document shall serve as the official RFP for possible site/space solutions for CTAR.

Premises
CTAR requires professional, Class B or better, office and meeting space. We will consider purchase or lease options. We will require the use of up to 150 parking spaces within reasonable walking distance to the facility during both normal business hours and in the evenings.

Location
Property must be within the following boundaries: South of Ashley Phosphate Road, East of the Ashley River, West of the Cooper River and North of Cosgrove Avenue.

Needs Include
Offices for staff of 15; reception area, small store, computer lab for 15-20, boardroom for 25-30; small conference room for 10-12; 2 classrooms for 50 each or 1 classroom for 100; registration/break area; workroom; storage room; kitchen; multiple bathrooms for large class breaks; parking for 100-150.

Square Footage 
We estimate a space requirement of 8,000 to 10,000 usable SF. Please identify the amount of space being offered including both the rentable and usable square footages and the core factor being used, if any.

Date
Ready for occupancy late 2013 to August 2014.

Lease Rate
Please provide the lease rate and the lease type being offered. Please indicate if operating expenses are included in the lease rate. For full service leases, please outline the expenses and amounts included in the lease rate. For net or triple net leases, please outline the expenses and amount that the tenant will be expected to pay.

Sale Price
If submitting a purchase opportunity, please indicate the listing price.

Lease Term
Minimum 5 year lease with options to renew.

Authorization
Please submit only properties that you have listed or that you have written authority from the owner to submit to us. We will require documentation proving that you have the authority to offer the property from the property owner.

Brokerage Representation and Commission
Seller/Landlord acknowledges that a member of the CTAR Facilities Task Force, (Broker), will represent CTAR in this transaction. As the CTAR representative, Broker shall be paid a market level commission by the Seller/Landlord for its role in this transaction as the tenant / buyer’s broker. Said commission shall be credited in the lease to the CTAR as a rent credit or as a credit at closing.

Note: This request is not intended to be a contract, but merely a statement of the present intentions of CTAR. It shall not create, or be construed to create, any rights and/or obligations on the part of CTAR. CTAR shall be bound only in accordance with the terms and conditions which may be contained in a final sales or lease agreement, if and only if, such agreement has been approved and executed by duly authorized officers of CTAR.
